Attendee Housing Information

Housing Requests

Hotel accommodations are assigned on a first-come, first-served basis. If your preferences are sold out, ASTRO will secure a room reservation at a hotel with a room rate similar to those of your hotel preferences. All housing requests must be received by October 8, 2010. We strongly encourage you to book your hotel early. Housing requests received after October 8, 2010, will be processed on a space-available basis and may be subject to a higher rate.

Hotel Confirmations

When you reserve housing online, you will receive an immediate confirmation of your reservation by e-mail. Reservations sent by fax or mail will receive confirmation by e-mail within five (5) business days. If you do not receive your confirmation, please call the ASTRO Housing Center at 1-800-541-6058 or 703-449-6418 to verify that your request has been received.

Payment and Deposit Information

All hotel reservations require a credit card to guarantee the room. The credit card must have an expiration date of at least November 2010. Deposits can be made by check or credit card. If you are paying your hotel deposit by check, please make the check payable to the hotel in U.S. dollars and send it to the ASTRO Housing Center. Do not make checks payable to ASTRO.

Housing Changes/Cancellations

On or before October 15, 2010, you may cancel or make changes to your reservation in writing or online. Written requests should be sent to the ASTRO Housing Center at astrohousing at jspargo.com and will be acknowledged with a confirmation within five (5) business days. To change or cancel a reservation online, you will need your confirmation number and the e-mail address you used to make your reservation. Online requests are acknowledged with an immediate e-mail confirmation.

Starting October 18, 2010, if you need to change or cancel your reservation, you must call your hotel directly. Cancellations must be made at least seven (7) days before your scheduled arrival date or you will be assessed a cancellation fee equivalent to one night’s deposit, which will be charged to your credit card. This cancellation policy will be strictly enforced. Please retain the cancellation confirmation from the ASTRO Housing Center or the cancellation number provided to you by the hotel, as this proof of cancellation will be required to resolve any credit card disputes.

Special Assistance

Most of the ASTRO official hotels comply with the Americans with Disabilities Act. Hotels will not guarantee bed type or special requests. Please confirm your request at check-in.
